How do I merge duplicate supplier accounts?

Your organisation should have one supplier account on each buying organisation's portal, with all your colleagues added to it as contacts. Sometimes a second account is created by mistake, for example when a colleague registers without selecting Join Company. If this has happened, our support team can merge the accounts for you. This is often referred to as a merge request.

Before you ask for a merge

  • Check whether you only need to join the existing account. If you've just registered and haven't started any bids, it may be quicker for a colleague on your main account to approve a join request. See How do I add more contacts to my supplier account?
  • Check the accounts are for the same legal entity. If your organisation trades as separate companies, each one needs its own supplier account, registered with a different email address. We can't merge accounts for different legal entities.

How to ask for a merge

Contact our support team, or reply to your existing ticket if you've already been in touch with us. You don't need to raise a separate request. Please send it from your work email with your full email signature, including your job title, and include:

  • the name of the buying organisation's portal, for example Health Family
  • the usernames or email addresses on each account, if you know them
  • which account you'd like to keep

If you're not a director of your company, we'll also need written approval from a director confirming the accounts should be merged. We need this for our audit trail and can't merge the accounts without it. The director can reply to the ticket, or you can forward us their approval. Including it in your first message will save time.

What happens next

We'll check the accounts and confirm with you what we've found before we merge them. Once they're merged, all your records will sit under the same account and your colleagues will be able to see all the information on it, including your procurements, contracts and contract KPIs.

Depending on how much information is linked to each account, a merge can take some time. If you have a tender deadline coming up, let us know when you get in touch.

Older contracts linked to a previous supplier record can't be merged. We'll still move all your records under the same account, so you'll have visibility of all the information.
