About this guide
You complete KPIs in the buying organisation's Supplier Portal, under Contract KPIs and SLAs: enter your result for each review period, add a comment, tick the Supplier Declaration and save. This guide walks you through that, online or with the Work Offline spreadsheet.
Who it's for: supplier contacts asked by a buying organisation to report performance on an awarded contract.
What a KPI is here: a Key Performance Indicator (or Service Level) agreed in your contract. The buyer schedules one KPI record per review period, for example quarterly. Each record has a due date, the target scores and space for your result.
Why it matters: your submitted results are scored automatically against the agreed targets (for example Good, Approaching Target, Requires Improvement, Inadequate). For public sector contracts under the Procurement Act 2023, these results can feed published contract performance notices.
Each buying organisation configures its own portal. Tile names, the fields you see and the scoring bands may differ slightly from this guide.
Before you start
You need an active login to the buying organisation's Supplier Portal and at least one KPI scheduled on your contract.
Portal login. Use the link the buying organisation gave you. Your username is your email address plus the portal suffix, for example name@company.com.suffix. See the supplier help centre if you need to log in or reset your password.
Linked to the contract. You only see KPIs for contracts awarded to your company. If a contract is missing, ask your contract manager at the buying organisation.
KPIs scheduled by the buyer. The buyer sets up the KPI, its targets and the review frequency, then schedules it. Each review period becomes its own KPI record with a due date.
Your data ready. Have your figures for the review period to hand, plus any short explanation or evidence the buyer has asked for.
Complete your KPIs online
Open each due KPI, enter your result and comment, tick the declaration and save; Next takes you to the following KPI.
Find your KPIs
Log in to the Supplier Portal.
On the home page, click the Contract KPIs and SLAs tile.
Click the contract you are reporting on. Its KPIs are listed in order, for example 1. Satisfaction, 2. Quality, 3. Overall.
Enter a result
Click the first KPI to open it.
Read the KPI details: KPI Description, Review Period, Due Date and Status. Your buyer may also show the Unit of Measure and the target scores (for example Good Score, Approaching Target Score, Requires Improvement Score).
Enter your result in the score field. Use the unit shown, for example a percentage, a number of days or an amount in GBP.
Add a comment in the text response field. Explain the result, especially if it is below target.
Tick Supplier Declaration. This confirms the data you submitted is accurate, complete and truthful to the best of your knowledge.
Click Save.
Click Next to move to the next KPI, or Back to return to the previous one.
Repeat until every due KPI on the contract is complete.
Tip: Some KPIs use a reverse scale, where a lower number is better (for example response time in hours). Check the target scores before you enter your result.
Work offline (many KPIs at once)
Use Work Offline when you have lots of KPIs to complete, for example monthly KPIs across several contracts.
On the KPI selection page, set the date range, then click Work Offline to download the spreadsheet.
Fill in only the response columns: Actual Service Level, KPI Text Response and Supplier Declaration.
Leave KPI Id, KPI Ref, KPI Description, KPI Full Description, Review Period and Completion Due Date as they are.
Save the file in the same format and with the same column headings.
Upload the file on the Work Offline page.
Open a few KPIs online to check your results have saved.
Warning: Don't rename, add, remove or reorder columns. If the headings change you'll see: "Sorry, the column headings of your file do not match the columns in the Download file. Please re-upload your KPI response file in the correct format."
Common questions and fixes
I can't see any KPIs, or the page says "There are no KPIs to display". Check your date range and filters first, then switch to All KPIs. If the list is still empty, contact the buyer: a KPI with no due date set can stop the whole list loading.
I get "An unexpected connection error occurred" when I view All KPIs. This is a setting in the buyer's system, not something you can fix. Tell the buyer's contract manager or Atamis support.
My upload fails with a column headings error. Download a fresh Work Offline file and only fill in the response columns. Don't change headings or column order.
My upload fails and I haven't changed the headings. A KPI description containing a comma can break the upload. Complete those KPIs online instead, and let support know which KPI caused it.
